HVAC CSR Conversion System
Your phone is already ringing. How many calls become booked jobs?
A complete CSR and dispatcher conversion system for owner-led HVAC shops. Turn inbound calls, price shoppers, voicemails, and renewal calls into booked appointments with written scripts, call logs, booking-rate dashboards, and owner-only coaching tools.
The CSR Conversion System gives you the call flow, staff scripts, daily reporting workbook, schedule-fill tracker, and private scorecard to make phone performance visible without buying call-center software. Built for owners who want a calmer front office, cleaner dispatch handoffs, and fewer paid leads disappearing at the phone.
5 files · 2 Excel workbooks · 4 call scripts · owner-only booking dashboard
Comes preloaded with sample call logs, weekly summaries, schedule-fill rows, and scorecard data, so you can see the workflow before replacing the examples with your shop's real calls.
Named reviewers
- Angela M. Pomeroy — Editor: owns the edition structure and final publication standard.
- Ryan W. Kincaid — Trade Reviewer: checks operational sections against real shop workflows.
- Kevin J. Hollowell — Accountant: reviews pricing logic, calculators, and financial assumptions.
- Patrick H. Calloway — Attorney: reviews contract templates and customer-facing legal language.
Who it's for
- Owner-led HVAC shops where calls are answered by the owner, a dispatcher, or a small CSR team
- Shops losing leads to missed calls, slow voicemail callbacks, weak price-shopper handling, or inconsistent booking language
- Service managers who want booking rate, schedule fill, and CSR coaching data in one controlled owner workbook
- Teams already using ServiceTitan, Housecall Pro, FieldEdge, or similar software, but still needing written phone standards and weekly review discipline
Who it's not for
- Contractors looking for dispatch routing software, GPS, CRM automation, an IVR, or an AI answering service
- Shops with a mature call-center process, documented scripts, reliable call logging, and weekly coaching already in place
- Owners who will not require every inbound call to be logged. Without call logging, the leak points stay invisible
- Anyone looking for guaranteed booking results. This gives you the operating system and dashboard; your team still has to run it
What's included
- Owner Manual (PDF): Quick Start, Launch Checklist, full master manual, workbook handoff process, scheduling guidance, metrics, coaching routine, call-recording cautions, glossary, and version log.
- Employee Guide (PDF): staff-facing guide for CSRs and dispatchers. Explains the phone standard, inbound call shape, price-shopper handling, emergency safety flow, daily reporting, and what staff should and should not see.
- Staff Pack (PDF): Placeholder Customization Checklist, Inbound Booking Script, Emergency Dispatch Script, Price-Shopper Script, Renewal Call variants, Voicemail Greeting, CSR Etiquette Checklist, Daily Call Log, Dispatcher Brief, Dispatcher Daily / End-of-Day Checklist, sample call-recording playbook, and FAQ.
- CSR Daily Workbook (Excel): two staff-facing tabs: Daily Calls and Daily Report. CSRs log calls, outcomes, booked slots, not-booked reasons, and one-line notes, then send the daily report to the owner.
- Owner Master Workbook (Excel): five owner-only tabs: Setup, Daily Intake, Weekly Summary, Schedule Fill, and Scorecard. Tracks booking rate, call trends, schedule fill, no-shows/reschedules, and private per-CSR coaching status.
How it works
Set up the Owner Master Workbook first: business name, CSR names, roles, notes, booking-rate target, and weekly schedule defaults. Then give staff the CSR Daily Workbook and the staff-facing guide/scripts. CSRs log calls during the day, send the Daily Report at close, and the owner records that report in Daily Intake. Weekly Summary, Schedule Fill, and Scorecard turn those daily reports into the operating view.
There are no cross-workbook formulas. Staff get the simple workbook. The owner keeps the private workbook with scorecards and coaching notes.
Built around the way HVAC calls actually get lost
Most shops do not lose calls because the team is lazy. They lose calls because the phone rings too long, price-shoppers get stonewalled, voicemails sit too long, emergency language gets improvised, or nobody reviews the numbers after training. This binder turns those failure points into scripts, checklists, dashboards, and a weekly review routine.
Proof point
Industry-average booking rate sits around 46%. Top-performing front offices can run in the 75-85% range. The first target is not perfection; it is making the leak visible, moving toward a 65% transition target, and coaching from real calls instead of memory.
Works alongside your existing tools
This does not replace your phone system, dispatch board, CRM, field-service software, or call-recording vendor. Use your existing tools for routing, invoices, payments, and customer history. Use this binder for the scripts, daily report discipline, booking-rate math, schedule-fill view, and owner review cadence.
Common questions
-
Is this generic or HVAC-specific?
Built for HVAC call handling: no-cool calls, emergency dispatch, price shoppers, diagnostic-fee questions, maintenance-plan renewals, dispatch handoff, and schedule fill.
-
Does this replace ServiceTitan or Housecall Pro?
No. Keep your FSM. This gives you the written phone process and owner review system around it.
-
What is booking rate?
Booked calls divided by total calls. Count every inbound call, including missed calls and voicemails, because missed calls are part of the leak.
-
Will my CSRs see the scorecard?
No. The CSR Daily Workbook is staff-facing. The Scorecard, coaching notes, and owner trends stay in the Owner Master Workbook.
-
What if we do not use the Maintenance Plans binder?
The Renewal Call section includes a standalone-safe check-in. Only use agreement-matched renewal language when your customer agreement contains the same terms.
-
Does this include call recording?
No. The binder records nothing and recommends no vendor. It includes a state-agnostic call-recording playbook so you can review consent rules before recording calls.
-
How long does implementation take?
Expect 1-2 weeks for setup, training, script practice, and the first weekly review. The behavior change takes longer than printing the scripts.
